JOB DESCRIPTION: Program Assistant (part-time)
Qualifications
1. High School Diploma or equivalent.
2. Prior secretarial experience preferred.
3. Knowledge of basic office procedures, record keeping, and phone protocols.
4. Demonstrated ability for mailing technologies and basic computer use.
5. Demonstrated ability for customer service and public relations.
6. Excellent listening, verbal, written communication, and organizational skills.
7. Demonstrated ability to successfully work within a team of people.
8. Demonstrated aptitude or competence for assigned responsibilities.
9. Required criminal background check & proof of U.S. citizenship, legal alien status, or right to work within the USA.
10. Such alternatives to the above qualifications as the Executive Director may find appropriate and acceptable.

Job Goal:
To ensure the efficient and effective operation of the assigned IMANI office so that it has a positive impact on the function of the office on an ongoing basis.
Performance Responsibilities
1. Performs the assigned office routines and administrative functions associated with a busy yet productive and smoothly run office.
2. Performs all administrative functions required by the assignment.
3. Receives and properly handles telephone calls and information requests from the Program Manager/ Executive Director.
4. Works with the Board of Directors on an as needed basis and as assigned by the director.
5. Works with teachers, parents, students, the public, school, and community-based organizations, and other contacts as related to IMANI Programs and as directed by the supervisor in a confidential manner.
6. Types and distributes daily, monthly, and weekly bulletins or reports as required.
7. Coordinates the master program calendar with the Program Manager/ Executive Director.
8. Maintains staff roster, attendance, and sign-in sheets for each program.
9. Assists with the free and reduced lunch forms and collection of program registration fees as needed.
10. Oversees the signing-in of visitors.
11. Oversees students or volunteers assigned to assist in the office.
12. Maintains book inventories and supplies for all programs
13. Maintains required papers for student activities, records or employment as assigned.
14. Distributes mail as needed.
15. Performs all responsibilities in a professional, courteous, and cooperative manner while maintaining strict confidentiality of the office.
Terms of Employment
Part-time is estimated as 16 hours per week. Salary and benefits as per the agreement executed by the Executive Director or designee. Performance evaluated annually.
